Frequently Asked Questions
Do we have to wait until April to transfer our payroll?
No, April is always a good time to transfer your payroll as it is the start of a new tax year. However, the payroll can be transferred at any point in the year, mid-year reports will just need to be provided.
Do you process payrolls for 1 employee?
At Payroll Compliance we process direct only payrolls and payrolls for just 1 employee giving them as much attention as a payroll with a hundred + employees.
We can help you set up a PAYE scheme with HMRC to process the payroll. As an employer, you will also need to have an auto enrolment pension scheme in place. Once you have selected the AE pension scheme, we can set it up and complete the monthly administration tasks.
If your employee is on a salary that doesn’t change each month then we will process this as an ‘approval only’ payroll meaning that each month we will send you the payroll to review and approve, at this point if you need to make a change you can notify us of the amendment, or if it is to stay the same you can just approve the payroll and we will do the rest.
How does the payroll process work at Payroll Compliance?
We work with you on an appropriate time scale taking into consideration your payroll requirements, pay date and any other additional factors for example you may request 2 people within your organisation to approve the payroll.
At Payroll Compliance we have invested in software that provides our clients with a Payroll Portal, this is what we use to communicate your payroll to you and where you will notify us of any changes and approve the payroll. The payroll portal gives the employer access to all employee payslips, you can generate specific payroll reports such as a ‘take home pay’ report, or a ‘payroll summary’, and there is an HMRC section that tells you what needs to be paid to HMRC each month and a documents section where you can upload notifications to us such as tax code notices, DEA notices or your payroll spreadsheet.
As well as your employer payroll portal your employees are all provided with their own individual payslip portal where their payslips and AE communications (generated through the payroll) are sent. On each pay date, your employees will receive an email notifying them that their payslip is ready for them to review and download. We suggest they download them for their records however, they are sorted in the payslip portal, an employee has access to their payslip portal up to the end of the tax year they leave the company (if and when they are issued a P45).
We process 2 types of payrolls:
‘Approval only’ these are payrolls that very rarely change i.e. fixed salary, each month we send you the payroll to review and approve, at this point if you need to make a change you can ‘reject’ the payroll and notify us of the amendment, otherwise you can just approve the payroll and we will do the rest, keeping you compliant with HMRC and The Pensions Regulator.
‘Changeable’ payrolls tend to be employees on changeable hours or that have regular additions and deductions each pay run. Each month we will send you a ‘payroll entry request’ where you can inform us of the changes, or you may prefer to upload a payroll spreadsheet to the ‘documents’ section of your payroll portal for us to work from. Either way, we will process the payroll, accordingly, checking for tax code changes and assessing all employees for auto enrolment eligibility. Once we have processed the payroll and it has been checked by our payroll manager it will be sent back to you to review and approve, at this point if you need to make an amendment you can reject the payroll and notify us of the changes or if you are happy with the figures you can approve and we will do the rest, submitting the RTI to HMRC and uploading your pension contributions to your company AE pension scheme. On your company pay date, your employees will receive an email notifying them that their payslip is ready for them to review and download from their own individual payslip portal, any AE communications generated through the payroll will also be uploaded to their payslip portal.
We provide you with a take home pay report that tells you how much to pay each employee and if requested we can provide a bank file (additional charge applied) for you to upload and set up payments. Between the 10th and 15th of each month, we will send out a P30 report to remind you to make the PAYE and NIC payment to HMRC.
What is RTI?
RTI stands for Real Time Information, all employers in the UK have to report their PAYE information to HMRC each time they pay their employees, whether that be weekly, fortnightly, 4 weekly or monthly.
What happens if we need to make an amendment after the payroll has been submitted to HMRC?
Depending on the circumstances, we can either make the change send HMRC an additional FPS (Full Payment Submission) notify them of the change along with a reason for the amendment or we can make the relevant change in the next pay run. If the change is made and an additional FPS is submitted then the PAYE and NIC remittance may need to be altered accordingly, the HMRC tab in your client portal will show the new amount due once the submission has been complete, if you have already made payment to HMRC then you can add the difference to the following months payment.
The employees’ payslip will also be updated with the correct figures.
Do you run payroll for accountants?
Yes, please see our Outsourced payroll for accountants’ section. We also work with HR Specialists and Bookkeepers processing payroll for their clients.
Do you deal with employee queries?
We request that all employee queries are communicated through you/our payroll contact within your company, and if required we can contact the employee directly.
Do you process Auto Enrolment Pensions?
Yes, we do everything from notifying The Pensions Regulator if you are exempt i.e. if you are a director only company to the monthly, yearly and 3 yearly administration.
If you have one employee or more you will need an AE pension scheme set up, even if all your employees choose to opt out, one legally needs to be set up for the company. If an employee is eligible then legally, they have to be enrolled even if they wish to opt out, this can’t be done until they have been put in the scheme. Then every 3 years anyone who is eligible but not in the pension scheme must be re-enrolled. We deal with all this on your behalf and will send out via the employee payslip portals relevant AE communications keeping you compliant with The Pensions Regulator.
As we are not under the FCA we are unable to advise you on which pension scheme to choose but we work with a number of IFAs that we can recommend if you need advice. Once you have selected the AE pension scheme, we will help you set it up and then take over the administration. If you have an existing scheme, we require delegate access to be able to complete the monthly, yearly and 3 yearly administration.
The AE administration includes calculating pension contributions, uploading the contributions to your selected pension provider, dealing with any employee opt in and opt outs and issuing the Declaration of Compliance to The Pensions Regulator.

Depending on the size of your payroll we will ask for at least a month from receiving the payroll handover information to get you set up in our software, for smaller companies two weeks before your payroll date should be fine. But this will be arranged with you on sign up.
